Categories and participants keep your entries organized: categories group the kind of work you did, and participants record who did it. This guide shows you how to add them, reorder them, hide the ones you do not use, and pick a default participant so new entries fill in faster.
Before You Start
- Category and participant management lives in your Settings. You can manage both on mobile (iOS and Android) and on the web app.
- REPSLog ships with a few built-in categories to get you started. You can rename or delete your own custom items, but the built-in ones (marked Default) cannot be deleted. You can still hide them.
- Your plan sets how many categories and participants you can have. If you hit the limit, REPSLog will prompt you to upgrade when you try to add a new one.
- If you are viewing someone else's account as a read-only delegate, the add, reorder, hide, and default controls will not be available.
Where to Find Category and Participant Management
- Open Settings.
- Tap Manage Participants to work with participants, or Manage Entry Categories to work with categories.
Each screen lists your items in one place, with the same controls: a drag handle, a visibility (eye) button, and, for participants, a default (star) button.
How to Add a Category or Participant
- Open Manage Participants or Manage Entry Categories from Settings.
- On mobile, tap + Add a New Participant (or + Add a New Category) at the bottom of the screen. On the web app, use the add button at the top of the screen.
- Enter a name in the Participant Name (or Category Name) field.
- Tap Add Participant (or Add Category) to save.
Tip: Newly added items appear at the top of the list, so the ones you just created are easy to find. You can drag them anywhere you like afterward.
How to Reorder by Dragging
The order you set here is the order your categories and participants appear in when you create an entry, so put the ones you use most near the top.
On mobile
- Find the grip handle (the vertical dots icon) on the left side of the row you want to move.
- Press and hold the handle, then drag the row up or down to its new position.
- Release to drop it. The new order saves automatically.
On the web app
- Move your pointer to the grip handle on the left of the row. The cursor changes to a grab cursor.
- Click and hold the handle, drag the row to its new spot, and release.
- The new order saves automatically.
Tip: Dragging is available once you have more than one item in the list.
How to Hide or Show an Item
Hiding keeps an item out of your way without deleting it or losing any past entries that used it. A hidden item simply stops appearing in the picker when you create new entries.
- On the Manage Participants or Manage Entry Categories screen, find the row you want to hide.
- Tap the eye button on the right side of the row. The row dims to show it is now hidden, and the icon changes to an eye with a line through it.
- To bring it back, tap the same button again. The row returns to full brightness and shows up in your entry pickers once more.
Tip: Hiding is a good way to tidy up the built-in categories you do not use, since those cannot be deleted.
How to Set a Default Participant
The default participant is the person who is pre-selected whenever you start a new entry, so you do not have to pick them every time. Most users leave this as Myself, but you can choose anyone, for example a spouse who does most of the work.
- Open Manage Participants from Settings.
- At the top you will see a Myself row, along with the hint Tap the star to choose who new entries default to.
- Tap the star button on the row of the participant you want as your default. The star fills in and highlights to show it is the current default.
What "default" does
- New entries are pre-filled with your default participant, so the field is already set when you start.
- AI autofill respects your default too. If the AI cannot tell who performed the work, it falls back to your default participant. If you name a specific person, the AI still uses that person.
- A hidden participant is never used as a default or chosen by AI autofill, even if the original text mentions them.
How to Disable the Default
If you would rather have no special default and go back to Myself, tap the star on the Myself row at the top of the participant list. New entries will then start with Myself selected.
Tip: If you hide the participant that is currently your default, REPSLog automatically resets the default back to Myself for you.
Troubleshooting
Why can't I delete a category or participant?
Built-in items are marked with a Default badge and cannot be deleted. You can hide them with the eye button instead. Your own items are marked Custom and can be deleted by swiping the row on mobile.
Why don't I see a drag handle?
The grip handle for dragging only appears when you have more than one item in the list. If you are viewing a read-only delegated account, reordering and the other controls are turned off.
I set a default participant, but new entries still start with Myself.
This usually means the participant you chose was later hidden. A hidden participant cannot be the default, so REPSLog resets it to Myself. Show the participant again, then tap the star to set them as the default once more.
Where is the star button on the web app?
The default (star) button is on the right side of each participant row, next to the eye button, on both mobile and the web app. The Myself row at the top of the list also has a star you can tap to clear a custom default.
Does hiding an item delete my past entries?
No. Hiding only removes the item from the pickers for new entries. Any entries that already use that category or participant keep their data.
