How to Log an Entry by Voice, and What the Live Chips Mean

You can log an entry by speaking it instead of typing it. While you talk, REPSLog transcribes what you say and shows a row of chips telling you which parts of the entry it has heard so far, so you know when you can stop. This works on iPhone, Android, and the web app.

Tip: Voice dictation is a Premium feature. If you are on the free or Starter plan, tapping the mic opens the upgrade screen. The 14-day free trial includes it.

How to Dictate an Entry

1. Open Add a New Entry.
2. Tap into the Services Performed field and tap the mic icon.
3. Allow REPSLog access to your microphone the first time you are asked. Without it, dictation cannot start.
4. Describe what you did, in plain language. The text appears as you speak.
5. Tap Complete when you are done.

You can re-record, or edit the text with the keyboard afterwards. Nothing is saved to your log until you save the entry.

What the Chips Mean

While you are talking, a row appears above the field under the heading AI Autofill will use. There is one chip per field that can genuinely be missing from an entry: Duration, Property, and Date.

Each chip is telling you one thing: have I said this yet, while I can still say it.

• Grey dot. Nothing heard for this field yet, and there is no fallback. Say it if it matters.
• Hollow check, with a value. REPSLog is going to assume something, and it shows you what. Today's date, or your only property, for example. If the assumption is wrong, say the right one out loud and the chip switches over.
• Solid check, with what it heard. You actually said this, so it wins over any assumption.
• Warning. It heard more than one candidate, such as two properties or two durations, and cannot tell which you meant. Say the one you want again, or fix the field after Autofill runs.
• Warning on Duration, with the value. The duration you said is too long to save. Entries are capped at 24 hours.

Tip: The chips never stop you. They are an indicator, not a gate. A short entry like "cold calling" with every chip grey is perfectly valid, and you can stop and save whenever you like.

Why there is no chip for who performed the activity

That field always has a value, so a chip for it would be green before you said anything and would tell you nothing. REPSLog still listens for it: saying "my wife did it" is understood and applied when Autofill runs, it just does not get a chip of its own.

Turning the Chips Into a Filled-In Entry

The chips are a preview of what Autofill with AI is going to use. To apply them, tap Autofill with AI, or switch on Apply After Speech next to that button so it runs the moment you stop talking.

The chips stay on screen after you stop, so you can read them and decide. They clear when they stop being true: when you start a new recording, when you clear the description, or once Autofill has run and the form itself holds the values.

Always review the filled fields before saving. AI can make mistakes.

Troubleshooting

I got "You have reached the daily limit of this feature"

There is a daily cap on dictation. It resets the next day. If you hit it regularly, let us know what you are doing, because the cap is generous and hitting it usually means something else is going wrong.

The chips never turn green even though I said the property name

REPSLog matches what it heard against the property names on your own account, so a property it has never seen cannot light up. Check the name in the app matches what you say out loud, and add the property first if it does not exist yet.

I said a time, but the Duration chip shows a warning

That means more than one duration was heard, for example "I got there at 9 and left at 10, so about 45 minutes on the actual repair". Say the one you want plainly, or correct the Duration field after Autofill fills it in.

The text kept up with me at first and then seemed to lag

Dictation falls back to transcribing the whole recording at the end if the live connection cannot be established or drops. Your audio is not lost: keep talking, tap Complete, and the full text arrives a moment later.

Nothing happens when I tap the mic

Check that REPSLog has microphone permission in your device settings, and that you are on a Premium plan or an active trial. On the web app, your browser also asks for microphone access the first time, and a blocked permission has to be cleared from the browser's site settings.
