REPSLog uses AI to power features like smart search, attachment indexing, and personalized activity suggestions. The AI and Privacy screen in Settings lets you see exactly which features send part of your log to our AI providers, and turn any of them off. This works on iPhone, Android, and the web app.
Where to Find It
Open Settings and tap AI and Privacy.
The Two Switches
The screen has two switches (three if personalized activities has been turned on for your account). Each one controls a different kind of AI processing.
Basic AI features
This is the master switch. It covers Smart Search: the AI-powered search that finds entries semantically, not just by the exact words you typed. When this switch is on, REPSLog indexes your entries so search can match on meaning.
Turning it off stops all background AI processing: smart search stops working, attachment indexing stops, and personalized activities stop. We stop sending anything new and stop using what we derived, straight away. Deleting the derived data takes up to 31 days.
Turning it back on within 30 days restores the data that switch covers, so your search index does not have to be rebuilt from scratch.
Important: This switch works on every plan, including free. It is never behind the paywall. On a free plan, the features are not running today because they are part of Premium, but your choice is recorded and respected either way.
Smart Search Attachments
This switch controls whether your uploaded files (receipts, photos, documents) are sent to an AI provider to be described and indexed, so that searching for "roof repair" can find the invoice even if your entry just says "hardware store run".
It is separate from the master switch on purpose: files can carry sensitive information, so this is asked for on its own rather than bundled with search. Turning off attachments does not turn off search, and turning off search does not erase your attachment choice. The attachment switch is disabled when the master switch is off.
When you turn attachments off, we stop using the descriptions for attachment search and delete them as described in our Privacy Policy.
AI Entries Suggestions (if visible)
If personalized activity suggestions have been turned on for your account, a third switch appears here. It controls the Suggested for You carousel on the dashboard, which offers back the kinds of work you log most often.
Turning it off stops the suggestions and deletes the profile we derived from your entries. Smart search keeps working and your attachment choice does not change.
What These Switches Do Not Cover
Features that only run when you tap them are not on this screen, because the tap is the action:
- Voice dictation. Your audio is sent to a transcription provider when you start a recording. Turning off AI features does not disable the microphone.
- Autofill with AI. The entry text is sent to a model when you tap Autofill.
- Generate AI description on an attachment. That one file is sent to a model when you tap the button.
None of these run in the background, none of them work through your files or entries automatically, and none of them are gated by the switches on this screen.
What Happens When You Turn Everything Off
- We stop sending anything new to our AI providers for the features this screen controls.
- We stop using what we already derived, straight away.
- Deleting the derived data (embeddings, index entries, the activity profile) takes up to 31 days.
- Turning a switch back on within 30 days restores the data that switch covers: the master switch restores search, the attachment switch restores the attachment index, and the suggestions switch restores the profile. Each one is independent.
What we cannot undo is a request that has already been sent to a provider. Our providers process on our behalf under their own data terms, and a request that was sent before you turned the switch off has already been sent.
If You Reach for a Feature That Is Off
When AI features are turned off, reaching for smart search or any other AI-powered feature shows an invitation to turn it back on rather than silently failing. You can re-enable from that prompt or from this screen.
Troubleshooting
I turned off AI features but the microphone still works
Voice dictation is a per-tap feature. You choose to record each time, so it is not controlled by this screen. See How to Log an Entry by Voice for more about dictation.
I turned everything off and search stopped working
That is expected. Smart search depends on the AI index and there is no keyword search behind it, so with the switch off the search field is disabled and tapping it offers to turn AI features back on. Turn the master switch back on to restore it.
I see "These features are part of Premium" but the switches still work
The switches work on every plan. On a free plan, the features are not running because they require Premium, but your choice is still recorded. If you upgrade later, your choices take effect immediately.
I turned off attachments but left search on. What does search match now?
Search matches the text of your entries and the meaning behind them. It no longer matches the contents of your uploaded files. Turning attachments back on restores that without affecting the rest of your search.
A delegate cannot change these settings
These controls belong to the account owner. If you were invited to someone else's REPSLog account, you will see the current state but the switches are read only.
